2 Purposes of data processing and legal basis
Visiting our website
Log files
Every time our websites or applications are accessed, certain information is sent to our server via the end device's internet browser and temporarily stored in so-called log files. This data includes, among other things, the date and time of access, the name of the page accessed, the IP address of the requesting device, the referrer URL (the URL from which you accessed our site), the amount of data transferred, the loading time and information about the browser and access provider used. This data is stored by default for 24 hours before it is automatically deleted.
The basis for the processing of the IP address is Article 6 (1) (f) GDPR. Our legitimate interest is to ensure the connection, to enable a pleasant use of our website and to monitor system security and stability. A direct reference to your identity is not possible with this information and will not be made by us. We reserve the right to store log files for certain purposes over a longer period of time, for example, when troubleshooting. The stored data will be deleted after the respective purpose has been achieved.

Our customer service team can also be reached by phone if you have any questions or concerns. When you contact us, we collect your name and telephone number. You can also choose to provide us with additional personal data during the call, such as your email or postal address. This data is used at least to process your request and, if a contract is concluded, also beyond that. The legal basis for this processing is pre-contractual measures in accordance with Art. 6 Para. 1 lit. b GDPR and our legitimate interest in accordance with Art. 6 Para. 1 lit. f GDPR in offering you optimal customer service.
Establishment and execution of the contractual relationship
The processing of personal data is necessary for the smooth processing of a purchase contract between you and i-deas GmbH. You have the option to create a customer account where you can manage your data. Alternatively, you can also complete an order without registering. For the purpose of contract processing, we process the following personal data: first and last name, billing and delivery address, payment data, email address, and optionally your telephone number, date of birth and, if applicable, a password for your customer account. We store your data at least for the duration of the contract and until the expiry of the statutory or contractual warranty and guarantee rights. In addition, some of your data is stored in accordance with commercial and tax law retention periods. The legal basis for this processing is the fulfillment of the contract in accordance with Art. 6 (1) point b GDPR as well as compliance with legal requirements in accordance with Art. 6 (1) point c GDPR. Depending on the payment method you choose, we will transfer your payment data to our contracted payment service providers so that they can carry out the transactions.
Credit and address checks
Credit check
In order to protect our legitimate interests, we carry out a credit check for certain orders. For this purpose, we transmit personal data, such as your name, address and date of birth, to an external credit agency. We use the information received to assess your solvency and to offer you appropriate payment methods. The legal basis for this is Art. 6 (1) point f GDPR. You have the right to object to this processing of your data at any time. However, please note that in this case not all payment methods may be available. The data collected in this context will be deleted as soon as it is no longer needed, or processing will be restricted if statutory retention requirements exist.
PayPal
When you pay with PayPal, you will be redirected to the PayPal website via a link. In doing so, your personal data will be processed, including your name, address, email address, possibly your telephone number and your account or credit card details. Purchase on account
If you choose the payment method “purchase on invoice”, the total amount is due for payment upon receipt of the goods. We commission an external service provider to process the purchase on invoice. As part of the purchase on invoice, we transfer the personal data required for the payment process to the respective provider. This includes, in particular, your name, address, order and transaction data, as well as, if applicable, your credit information, which the service provider uses to check your solvency. The data processing is carried out in accordance with the data protection declaration of the respective provider, which you can view on its website. By using the payment method purchase on account, you consent to the transmission of the data required for payment processing to the external service provider and to the processing of this data in accordance with the service provider's privacy policy.
Credit card
We use an external payment service provider to process credit card payments. When you select the credit card payment method, your credit card details, such as card number, expiry date and, if applicable, security code, are transmitted to the payment service provider to carry out the transaction. Your credit card details are transmitted and processed in encrypted form and in accordance with the security standards of the payment industry. We do not store your credit card details; they are stored exclusively by the payment service provider, which also assumes responsibility for secure processing. Data processing is carried out in accordance with the privacy policy of the respective payment service provider, which you can view on its website. We work together with transport and logistics companies. Trusted Shops
If you have given us your express consent during or after your order in accordance with Art. 6 (1) 1 lit. a GDPR, we will use your e-mail address to ask you to rate your order using our rating system. You can revoke this consent at any time by sending a message to the contact point specified in this data protection declaration.
The evaluation requests can also be sent by our service provider Trusted Shops AG, Subbelrather Str. 15C, 50823 Cologne (“Trusted Shops”). As part of the dispatch, we receive information from Trusted Shops about the status of the evaluation requests (e.g. whether the request has been sent or whether it has been delivered). This is done in accordance with Art. 6 (1) 1 lit. f GDPR to safeguard our legitimate interest in receiving information about the review requests in order to make optimizations if necessary, as well as the legitimate interest of Trusted Shops to be able to offer this service.

4 Data processing for advertising purposes
S you purchase products or services on our website and provide your e-mail address, you can also receive transaction- and product-related messages from Sphere-Profiles – regardless of whether you have subscribed to our newsletter. These messages are used to send you advertising that is tailored to your actual or assumed needs, without bothering you with unnecessary advertising. The legal basis for this processing is § 7 Abs. 3 UWG. You can unsubscribe from these messages at any time by using the unsubscribe link at the end of the info mail (e.g. newsletter or product recommendations) or by contacting us by email at info@sphere-profiles.com.
Newsletter
On our website, you have the option to register for a free newsletter. When you register, the data provided in the input mask is processed, whereby the e-mail address is required as a mandatory field. Your data will be processed for the duration of the subscription. The legal basis for this processing is your consent in accordance with Art. 6 (1) point a GDPR. We use the double opt-in procedure (DOI) for registration, in which you finally register for our newsletter by clicking on a confirmation link.
Right of withdrawal: You can revoke your registration at any time with effect for the future by clicking on the unsubscribe link at the end of the newsletter or by sending us an informal message to info@sphere-profiles.com. After revocation, your data will no longer be used to send the newsletter.
5 Online presence and website optimization
Cookies – general information
So-called cookies are used on our websites. These are small text files that are sent from the web server to your browser and stored on your device. Cookies can only be read by the server that stored them, and they store information about which pages you have viewed and when. They only identify the IP address of your device and do not contain any personal information such as your name. The data stored in cookies is not linked to your personal data (e.g. name, address).

The data collected by these cookies are pseudonymized so that a direct assignment of the data to the user is not possible. These data are not combined with other personal data.

Microsoft Advertising

Google Analytics
We use Google Analytics for statistical analysis. Google Analytics is a web analytics service provided by Google Ireland Limited, Gordon House, Barrow St, Dublin 4, Ireland (“Google”). Google Analytics uses so-called “cookies”, which are small text files placed on your computer, to help the website analyze how users use the site. Google Ads Remarketing
We use Google Ads Remarketing and “Similar Target Groups” on our websites, both services provided by Google Ireland Limited, Gordon House, Barrow St, Dublin 4, Ireland (“Google”). These services enable us to display targeted advertising messages to you in connection with our online shop, such as interesting product offers, on other websites that also use Google services (“partners” in the Google Display Network). In addition, we can use Google Ads Remarketing on other websites in the Google Display Network to remind you to complete an order if you have recently abandoned an order in our online shop. This is done with the help of cookies.
Google stores a small file (a so-called cookie ID) in your browser to recognize you as a visitor to our websites and to collect anonymous data on the use of our websites. The cookie ID is stored by us to uniquely identify your browser, but not to determine your identity. Personal data is not collected or stored via these services.
Google Remarketing is also used across devices. This means that if, for example, you start your order in our online shop on your smartphone and continue it on your laptop, we can also reach you with the personalized advertising messages mentioned on the other device. However, this is only possible if you have given Google permission to link your web and app browsing history to your Google Account and to use this information to personalize ads. Google uses this data to create target group lists for cross-device remarketing. If you do not want Google to link your web and app browsing history to your Google Account, you can adjust the privacy settings in your Google Account. To remind you of a canceled order, Google does not transmit any personal data, but only the information that you have started an order in our online shop but canceled it, as well as the total price of the intended order (“shopping cart transfer”).

Google Ads Conversion Tracking
In addition, we use so-called conversion tracking as part of Google Ads. When you click on a Google ad, a conversion tracking cookie is stored on your device. These do not contain any personal data and do not enable personal identification. The information collected by the conversion cookie is used to generate conversion statistics for Ads customers who have activated conversion tracking. The legal basis for this data processing is Article 6 (1) (f) GDPR.

Google reCAPTCHA
On our websites, we use “Google reCAPTCHA” (hereinafter “reCAPTCHA”), a service provided by Google Ireland Limited, Gordon House, Barrow St, Dublin 4, Ireland (“Google”). reCAPTCHA is used to check whether data entered on our pages (such as on a contact form) has been entered by a human or by an automated program. To do this, reCAPTCHA analyzes the behavior of the website visitor based on various characteristics. This analysis starts automatically as soon as a visitor enters our website. Various information such as IP address, time spent or mouse movements of the user are evaluated. The collected data is transmitted to Google. The analysis runs in the background, so visitors do not receive any notification of it. Google Consent Mode
We use Google Consent Mode, a service provided by Google Ireland Limited, Gordon House, Barrow St, Dublin 4, Ireland (“Google”). The Consent Mode transmits your decision regarding the consent to cookies to Google. It enables us to adapt the behavior of Google tags and scripts on our website in accordance with your consent. In doing so, your IP address is transmitted to Google regardless of your consent. The legal basis for this data processing is Article 6 (1) point f GDPR.
Google Tag Manager
On our website, we use Google Tag Manager, a service provided by Google Ireland Limited, Gordon House, Barrow St, Dublin 4, Ireland (“Google”). Tags are small code elements that are executed during certain interactions on our website and transmit data to third-party programs. The Tag Manager itself does not set any cookies and does not collect any personal data. It only ensures that other tags that may collect data and set cookies are activated. The Google Tag Manager has no access to this data. The legal basis for the use is § 25 Abs. 2 Nr. 2 TDDDG.
CRM Ads
We use the Google Ads customer matching (Google Customer Match) from Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (“Google”). This feature within Google Ads enables us to address prospective and existing customers in a targeted and personalized manner via Google Search, Google Shopping, Gmail, YouTube and the Google advertising network. Google Ads customer matching is used in particular for remarketing, optimizing campaigns and increasing the conversion rate.
The personalization of the advertising is based on your Google account information and your activities and interests that arise from the use of Google products and Google advertising partners. By using Google Ads customer matching, we can target advertising that better matches the interests of the target group that result from the use of our shop. No additional cookies are required for customer matching. Personalized advertising through Google Ads is only displayed if you have consented to cookie processing via our cookie banner or elsewhere.
Google receives a list of hashed codes from us, which are compared with their own user database to determine whether you are already known as a Google user. No complete personal data (such as email address or telephone number) is transmitted to Google, only these encrypted codes. Google cannot decrypt these codes unless the corresponding data is already present in its user database. If Google does not find a match, the assignment cannot be made. Once the target groups have been formed, the uploaded data is deleted.
The legal basis for the use of Google Ads customer matching is your consent in accordance with Art. 6 (1) point a GDPR. The process protects personal data by ensuring one-way encryption of the data, so that Google does not receive any information about individuals who have not already provided it in their Google account.
6 Social Media
YouTube
This website uses plugins to display and play videos from Google Ireland Limited, Gordon House, 4 Barrow St, Dublin, D04 E5W5, Ireland (“Google”). In doing so, data may also be transmitted to Google LLC. in the US. When you visit a page that contains such a plugin, your browser connects directly to Google's servers to load the plugin. In doing so, certain data, such as your IP address, is transmitted to Google. When an embedded video is played via the plugin, Google sets cookies to analyze user behavior, generate playback statistics and prevent abuse. If you are logged into your Google account while visiting our site, your data will be directly associated with your Google account when you click on a video. If you wish to prevent this, you must log out before playing the video.
The data processing described above, in particular the setting of cookies, will only take place if you give us your express consent in accordance with Art. 6 (1) point a GDPR.
7 Recipients of data
We receive support in processing data from service providers and technology partners who process personal data on our behalf. These partners are contractually bound to us by a data processing agreement or joint controller agreement, so that they may only process the data for our business purposes and in accordance with our instructions.
These service providers include, in particular, technical providers (including affiliated companies) who are responsible for the maintenance, hosting and support of our IT infrastructure and this website, as well as providers who are responsible for mailings and other marketing activities.
